ACCESS TO SITE
​
Thursday
Access to the site is available from `12 noon however no security will be provided Thursday night.
​
Friday
Gates will open at 7:00am for setting up and the Farm Fair and Show will officially run from 10:00am until 5:00pm.
Gates open to general public from 10:00am
Security will commence at 5:00pm and all gates will be locked at 6:00pm.
​
Saturday
Gates open at 7.00am and continue until 4:00pm. Gates open to general public from 9:00am.
NO exhibits will be dismantled until 5:00pm.
​
DISMANTLING EXHIBITS
No exhibits are to be removed before 5:00pm unless prior arrangements have been made with the event management. . Exhibitors must ensure site is left clean and tidy as found, before vacating their site.

All equipment must be removed by 12 noon Monday 31 March 2025 unless prior arrangements are made
​
PUBLIC LIABILITY INSURANCE
All exhibitors and site sharers must hold their own Public Liability Insurance with an indemnity of not less than $5 million covering them against occurrence attributable to their activities of any person for whom they are directly responsible. An exhibitor who chooses not to provide us with a copy of the insurance will not be allocated a site.
Compulsory insurance is not a decision of the Karoonda Farm Fair and Show committee but is a direct request of all insurance companies involved in public events.

LPG
Exhibitors intending to use bottled LPG must inform the event organisers of the quantity to be stored on site and must comply with AS/NZS 1596:2014 – THE Storage and Handling of LP Gas. LPG cylinders must be secured and at least 1500mm from any ignition source and in a ventilated area. LPG cylinders must not exceed 10 years of the stamped date.

MARQUEE HIRE
Karoonda Farm Fair & Show will be using White Marquee Event Hire during our 2025 event.

Exhibitors choose their preferred marquee supplier.

PAYMENT FOR SITE
Allocation of sites will not be made until payment has been received. While the committee endeavours to assign regular exhibitors to the same area, preference will be given to early exhibitors into prime areas. All fees to be paid prior to the event. Event passes will not be sent unless site fees have been paid.

POWER
Power is available at $80 per outlet.
​
A maximum of two (2) outlets are available – please advise on the Exhibitor Entry Form how many outlets are required.
Extension cords must be supplied by the Exhibitor for use from power boxes. If heavier outlets are required, notification of requirements should be stated on Exhibitors Entry Form.
​
Power Cords must be tested and tagged.
​
No heating devices (i.e. urns) etc. will be permitted unless prior arrangements are made with management. Power boards are not permitted.
​
ENTRY PASSES
Two passes will be issued with each site booked. Additional two-day passes can be obtained at a concession rate of $25.00 each if booked on the application form. There is no refund on any tickets that are not presented at entrance gates.

SECURITY
Exhibitors will be responsible for their own sites throughout the Farm Fair and Show. Security is provided Friday night commencing 5:00pm and continuing until 7:30am on Saturday morning.

SITES
All exhibitors must report to the Site Manager upon arrival for site allocation.
All sites are marked with various coloured paint
Blue Lines = Water
Red Lines - Power
Yellow Lines = Area of allocated site
​
No objects are to be driven into ground within one metre of lines. Exhibitors will be liable for damage incurred on site.
Siteholders will be charged for any damage caused to any underground services that have been identified by the above colours. The driving in of any tent pegs, iron droppers or posts without prior approval of the site management is not permitted.
​
SITE SHARING
Names of companies that will be represented on your site must be included on the application form. A $25 fee per company will be charged in order to be included on all advertising. The Committee reserves the right to refuse any exhibit that is not in the best interest of the Karoonda Farm Fair & Show.
​
SITE RETENTION
If you are satisfied with your allocated site and would like to reserve it for next year a $30 deposit per site can be made to ensure you have your choice of sites. Naturally, if you wish to change your position, first option must be given to the present site holder. This booking can also be made with the event management on the day of the Fair

SITE AWARDS
Sites will be judged according to the following:

Overall planning and aesthetic appeal.

Demonstrations and action content.
-
Information content.
-
Presentation of equipment or items on display.
-
Dress and ease of recognition of staff on the site (uniform jackets, etc.)
-
Safety, e.g. tent pegs and only authorized vehicles on site.

Judged by independent judges.

MALLEE STUMP TRAIL
Encourage visitors to your site by being involved with the Mallee Stump Trail. List your business with the coordinator and have a small momento (sticker, pen, etc) to add to the trail bag. A great promotion for your business.

MALLEE STORM FASHION PARADE
The Mallee Storm Netball Club Fashion Parade will be in the Mallee Storm clubrooms . Two fashion parades will be run each day during the event. If you are exhibiting please consider supporting the fashion parade during the event as it is a great way of promoting your product with local models modeling the clothes.
